
Introduction
The New England Nordic Ski Association (NENSA) is committed to providing its constituents with information regarding skiing while protecting their privacy. The NENSA is providing this document to explain our policies relating to data collection and protection.
About NENSA
The primary goal of the New England Nordic Ski Association is to create an environment that promotes the athletic development of New England cross-country skiers, supports skiing organizations, and encourages the growth of the sport of cross-country skiing. NENSA’s long-term programs assist the individuals and the organizations that deliver services, in line with NENSA’s Mission, to the cross-country skiing community. In cases where structures do not exist to deliver necessary services, NENSA may elect to initiate events or services to stimulate desired development. NENSA staff or NENSA-based committees may take on the short-term responsibilities of delivering such services, but it is not the responsibility of NENSA to be a primary service provider for ongoing services, nor should significant portions of the NENSA budget be allocated to provide services that can be delivered by other organizations such as clubs, schools, and cross-country ski centers.
NENSA’s direct contributions to growing and supporting a healthy skiing culture can be separated into the areas of communications and coordination, education and certification. As the conduit between individuals, organizations, schools, clubs, ski centers, race sites, and industry, NENSA creates and maintains the communications vital to the health of the sport. NENSA’s links allow for the coordination of scheduling, siting, and promoting of events and activities by individuals and organizations. NENSA’s educational programs are designed to serve the skiing community with clinics and workshops in areas such as ski technique and race organization, and seminars on issues such as youth development and club development. NENSA’s Coaches and Officials Education and Certification programs develop standards and teachers of standards that improve the quality and consistency of athlete development across the region.

NENSA Data Management
NENSA operates under strict protocols surrounding our use and protection of constituent data. We will provide notice should we change or update this, or any of our other policies. If any constituent has concerns regarding abuse of this policy, please contact us at our address/number listed below.
NENSA utilizes constant contact for our company emails to constituents, which maintains extremely high standards for protecting our constituent’s information.
NENSA manages all of our fundraising and membership information internally.
Providing information to NENSA
Anyone who is providing information to NENSA is doing so voluntarily. Although some information may be required for participating at NENSA events, those choosing to attend those events do so voluntarily. We collect information from our constituents in the following circumstances: Registering as a member, registering as for a newsletter, and registering as a donor. Through these services we may collect the following information: name, address, phone number, email address, date of birth, gender, club, competition class, general skiing background information, and background information about the constituent. We need to collect this information to manage our athletic events, provide requested communications, adhering to NENSA policies, federal, state and local laws, and for feedback solicitation. We follow strict data protection methods that vary based on the type of participating our constituents engage in, which is elaborated on below.
NENSA Members
In order to effectively run our athletic events, we may share personal information including name, address, and birth date with NENSA affiliated clubs, event organizers and officials. This information is shared only to put on NENSA athletic and educational programs. Email addresses are never provided to third parties, although NENSA itself may distribute email addresses of members to clubs, and sponsors as part of our MOU. Credit card or other financial information is never shared under any circumstances. NENSA members have the right to opt out of any communications at any point by contacting us.
NENSA Donors
NENSA greatly appreciates all the support and generosity that our donors provide to athletic and developmental programming throughout the year. In order to properly fulfill those donations, NENSA may collect name, address, email, and contribution information including credit card number, for the purpose of fulfilling those donations. Email addresses are never provided to third parties, although NENSA itself may distribute email addresses of members to clubs, and sponsors as part of our MOU. Credit card or other financial information is never shared under any circumstances. NENSA donors have the right to opt out of any communications at any point by contacting us.
Data Protection for Children (Under the Age of 18)
NENSA encourages parents and guardians to participate with their children in our activities and programs. We encourage parents and guardians to take an active role to help protect the privacy of their children and prevent inappropriate use of information. NENSA’s site is directed to our constituent base and not specifically to children. NENSA does not target or actively seek to collect personal information of children through it’s website, and no information about children under the age of 18 should be submitted without the consent of a parent or guardian. If a parent of guardian wishes NENSA to delete any information provided to NENSA by their child, and/or opt out of future communications they should contact NENSA.
Links to Other Sites
Some pages on our site contain links to other sites whose information practices may differ from our own. These third parties may be advertisers, sponsors, and partners and may use our logo as part of a co-branding or other agreement. Constituents should be aware that personal information collected by these third parties does not fall under our policies surrounding data use, and should consult those sites’ privacy notices when they visit them.
Security
The importance of security for all personally identifiable information associated with NENSA’s constituents is of our utmost concern. NENSA uses extreme precaution in providing secure transmission of your information. Unfortunately, no transmission can be guaranteed to be completely secure, and as a result while we strive to protect your information, we cannot ensure any information you send to us, and you should do so at your own risk. Once we receive your information, we do our best to make sure our systems are secure.
Your Acceptance of These Terms
By using NENSA’s website, or registering for our programming, you are signifying your assent to the NENSA’s Privacy Policy. If you do not agree to the terms listed above, please do not use our site or register for programming. We retain the right to delete information and change our policies at any time. Your continued use of this site following the posting of changes to these terms will mean you accept those changes.
